Position: Administrative Assistant
 
Purpose: The Administrative Assistant supports the Executive Director in the daily operations of all programs offered by the Downingtown Area Recreation Consortium (DARC). This role provides administrative, customer service, and program coordination support to ensure efficient office operations, effective program implementation, and positive engagement with residents, instructors, and community partners.
 
Essential Functions:

  1. Perform general administrative tasks, including answering and directing phone calls, email correspondence, faxing, filing, scanning, mailings, deliveries and managing the activity calendars.
  2. Welcomes visitors, board members and employees in a warm and friendly manner.
  3. Assist the Executive Director in the daily operations of all programs offered by DARC.
  4. Assist with updating the website, performing website maintenance, creating social media updates, email marketing and writing press releases for municipal newsletters and community newspapers. Research various avenues to help with the marketing of the recreation programs to the community. Assist in developing new marketing methods.
  5. Assist in preparing the supplies and paperwork needed for classes and activities.
  6. Assist with sending program notifications to enrolled participants.
  7. Provide support and direction to new and returning instructors in submitting program paperwork, class attendance, invoices, etc.
  8. Handles discount tickets sales at the DARC Office (Cash).  Ensures all tickets are logged and accounted for at the end of each shift. Notify Executive Director when tickets need to be reordered.
  9. Update and maintain program registrations and tickets sales for all events and activities. Assist in the registration of participants for various classes either over the phone or in the DARC office, to include counter and phone work, verifying revenue for the day, and conducting closing procedures.
  10. Interact with and communicate with general public, volunteers, coaches, officials, township staff, committees, sports organizations, and school groups.
  11. Maintains cooperative working relationship with other employees, volunteers, supervisors, township managers and members of the DARC Board of Directors
  12. Assist in the implementation of seasonal classes to include unlocking and locking facilities, positing signs at the start of the program, checking in on instructors periodically, getting evaluations from participants, etc.
  13. Participates in representing DARC at community events when needed.
  14. Fully knowledgeable about all office functions and programs.
  15. Any other task assigned by manager or their representative.
Minimum Qualifications:
  • Must have a valid PA driver’s license.
  • Excellent verbal and written communication skills.
  • Maintain effective working relationships with staff and general public.
  • Ability to organize and prioritize a complex work load effectively to meet deadlines.
  • Ability to work in an environment that requires attention to detail, accuracy and multi-tasking.
  • Ability to understand, follow, and explain standard organizational procedures.
  • Must be able to lift up to 50 lbs.
  • Must be able to sit, stand, lift, pull, push, carry, grasp, reach, stoop, and crouch.
  • Must complete & pass PA Criminal, PA Child Abuse and FBI background clearances.
  • Must successfully complete a credit check with a minimum score of 650, because the position involves handling cash and credit transactions.
Recommended and Required Education, Experience and Training:
Education: High School Diploma (required), currently enrolled at a college or university (preferred)

Experience:

  1. 1-2 years of professional experience involving recreation, athletics or related work, preferred.
  2. Must have 2-3 years’ experience in administrative or accounting assistant support.
  3. Experience with and/or participation in a variety of recreational activities, preferred.
  4. Must be proficient in Microsoft Office Suite (Word/Excel/Outlook).
  5. Experience working in Recreation software program preferred.
  6. Experience in public sector environment, preferred.
